Shortcut #1: Summarize Long Documents
Alright, let’s say you’ve got a long PDF, like a 40-page industry report, white paper or case study…
And you don’t have time to read every single word – you just want the biggest takeaways and actionable insights…
Well, you can use ChatGPT to give you the main takeaways in under 30 seconds…
- In a new chat, enter the prompt:
- “I’m going to upload a [ long research study ]. Can you give me a clear summary of the top 5 takeaways and break them down in plain language as if you were explaining to a smart 12-year-old?”
- Then Upload Your PDF File:
- You can hit this little plus button here to upload a document, drag and drop it into the chat, or just copy and paste the text directly if it’s shorter. If the text is too long, ChatGPT will cut it off.
- Once ChatGPT processes your document, you should get a super clear summary with the top 5 takeaways!
- This particular report I uploaded is about sugar, which I just randomly found online – but it’s over 25 pages long and ChatGPT summarized the key takeaways in under a minute – Awesome right?

- “Give me 3 actionable insights a small business owner could take from this report.”
- “Summarize this for a LinkedIn post in a professional but casual tone.”

Shortcut #2: Analyze Data & Highlight Key Trends
Okay, so let’s say you sent out a survey to your best customers to get some feedback on a product or service you offer…
You have hundreds of responses, and you’re trying to figure out what people REALLY care about…
ChatGPT can spot patterns, key insights, and action items for you…
- In a new chat, enter the prompt:
- “I’m going to feed you [some data from a customer check-in survey ]. Can you identify the most common themes in the open-ended responses and give me a summary of the top 5 trends?”
- Then Upload Your File:
- Just like in the previous example, you can upload your CSV file or spreadsheet directly to ChatGPT
- If your data is in Google Sheets, first export it as a .csv file and then you can drag and drop it right into the chat.

- “Which challenges come up the most in the feedback?”
- “Group these responses by sentiment: positive, negative, neutral.”
- “Create a quick insights summary for a presentation.”

Shortcut #3: Create Specific Examples To Demonstrate Ideas
I literally just used this one to help me come up with some examples to help demonstrate a framework I was teaching…
This can be VERY useful if you’re teaching a course, building a presentation, or even posting on social media…
Examples are POWERFUL, and ChatGPT can help you come up with them – as long you clearly explain the formula, model, framework or idea you’re trying to get across!
- In A New Chat, Enter Your Formula or Framework
- “I use a formula called [ VIP ] to help [ freelancers write better social media bios ]. I’m going to explain to you how it works…”
- Then go ahead and explain the formula or framework – like you would in a training. Giving as much detail as possible will help ChatGPT come up with the best examples for you. So don’t skimp on this part!
- Once ChatGPT understands your framework, you can go ahead and…
- “I use a formula called [ VIP ] to help [ freelancers write better social media bios ]. I’m going to explain to you how it works…”
- Ask ChatGPT For Specific Examples
- “Using my [ VIP ] formula, give me 5 examples of [ social media bios ] for [ a business coach, a copywriter, and a virtual assistant ]. Keep each one short and impactful.”

- Want to convey more benefits? Try: “Make them more aspirational.”
- Want to match your voice? Try: “Rewrite them in a sassy, cheeky tone.”
- “Now give me 20 ideas for relevant hooks I could use in my social media.”

Shortcut #4: Turn Frameworks Into Visual Models
Alright, working off the last one we just talked about…
So you just taught ChatGPT your framework and got some examples…
Now, maybe you want to create some visuals or slides of those examples or maybe even create an infographic.
Remember – a lot of people are VISUAL learners. So this can be super useful when teaching or presenting new information…
So first you want to…
- In A New Chat, Describe Your Framework Clearly:
- “I teach a 3-part welcome email sequence framework called [ ‘A.I.M.’: Acknowledge, Include, Mobilize. Acknowledge is about welcoming people to your list, acknowledging where they’re at and what they’re struggling with. Include is about making new subscribers feel included in your mission and connected to your brand. Mobilize is about getting new subscribers to take action (like buying, downloading, watching, learning more, etc ]. Can you describe this as a visual model I could turn into a slide or infographic?”
- Then You Can Ask for Visual Suggestions:
- “What’s a strong visual metaphor for this framework? Should it be shown as a pyramid, a circle, or a linear journey?”
- “Describe how to lay this out in a slide deck.” Or…
- “Turn this into a 3-slide teaching sequence with headlines, subpoints, and speaker notes.”
And then the COOLEST part is that you can…
- Connect ChatGPT with Canva and ask ChatGPT to instantly create a visual framework or slide deck for you in your Canva account. How cool is that?!

Shortcut #5: Generate Podcast Show Notes
This works great for YouTube video descriptions too!
All you need to do is give ChatGPT the transcript of your Podcast or video…
Then ask ChatGPT to write detailed show notes or video description – including key takeaways, timestamps, and anything else you want to include.
The first thing you want to do is give ChatGPT an example of how you typically write your show notes or video description…
- In A New Chat, Give ChatGPT Your Preferred Format or Framework
- “I’m going to feed you a transcript of my latest Podcast. Please write me notes following this structure:
- Title
- Summary paragraph
- 3 Key takeaways
- Timestamps
- Guest bio (if applicable)
- Call to action”
- “I’m going to feed you a transcript of my latest Podcast. Please write me notes following this structure:
- Upload Your Podcast Transcript
- If you use tools like Riverside, Descript, or Otter – you can download the transcript and then upload it directly to ChatGPT.
- Hit enter and wait while ChatGPT reads the transcript and generates your show notes for you…
- Now obviously, you always want to read through this and make sure everything is accurate, change the language so it aligns with your brand voice – but this saves SO much time…

- “Make the tone warm, expert, and clear.”
- “Turn this into a quick summary that I can share over email.”

Shortcut #6: Analyze Social Data & Top-Performing Posts
Stop just guessing which of your social media posts perform best and why.
Now in most social apps, you can actually export your performance data (like likes, saves, reach, and captions) and have ChatGPT analyze which posts work best, why and how to replicate that success.
- In A New Chat, Enter The Prompt:
- “I’m going to share some of my recent social media data with you. Can you please:
- Identify the top 5 performing posts
- Tell me what they have in common (tone, topic, format)
- And suggest how I can repeat that success”
- “I’m going to share some of my recent social media data with you. Can you please:
- Export & Upload Your Data to ChatGPT
- Go ahead and export your post-performance data on whichever platform you’re using in a CSV file.
- Make sure to include: post text, impressions, likes, comments, saves, and shares.
- Then just drag and drop your CSV into the chat and ChatGPT will analyze it for you. How cool is that?!

- “Which underperforming posts could have done well with small changes?”
- “Analyze captions—what do my best-performing captions do well?”
- “What’s the best day and time to post based on this data?”
- “Which type of content consistently gets the most saves, likes and shares?”
Okay, Shortcut #7 – this one will save you SO MUCH TIME!
Shortcut #7: Write Spreadsheet Formulas
There are a lot of cool things you can do with Excel or Google Sheets… the only downside is that you need to know the “right formula” to make it happen.
If you’ve gotten sucked down the rabbit hole of Googling formulas for hours – you need this shortcut ASAP.
Just describe what you want, and ChatGPT will give you the formula and explain how it works…
- Describe What You Want the Formula to Do
- Don’t worry about getting technical. Just type it like this: “I need a formula for a spreadsheet that tells me if the value in column A exists anywhere in Column B.”
- Then ChatGPT will give you the formula you need – which you can easily copy and paste.
- Plus it will explain to you exactly how to use it! SO SIMPLE RIGHT?!
- Don’t worry about getting technical. Just type it like this: “I need a formula for a spreadsheet that tells me if the value in column A exists anywhere in Column B.”
- Here are some BONUS Prompts For Even Better Results
- “Create a formula that checks if a due date is overdue compared to today’s date”
- Or, “I’m going to upload two spreadsheets. Can you create a list of items that appear in BOTH?”
- Or, I’m going to upload a spreadsheet with first and last name in the same cell, can you please separate the names in two separate columns for each name.

Shortcut #8: Find Sources To Support Marketing Claims
Whether you’re doing research for a blog post, looking for stats to include in an upcoming email, data points to help support a claim or argument you’re making…
Or maybe you just want to make researching a certain topic easier and faster…
You can use ChatGPT for that!
- Describe What You’re Looking For
- Start by explaining the topic and your need for sources. You don’t need to be too formal.
- “Google made some changes to email deliverability in November of this year – can you send me some resources on that?”
- “I’m writing an article about the benefits of remote work for productivity. Can you find articles, studies, or case studies that support this claim?”
- “Can you provide links or summaries of studies on how social media usage affects mental health? I need at least 3 credible sources.”
- Start by explaining the topic and your need for sources. You don’t need to be too formal.
- ChatGPT will give you a summary of what you asked for, including links to specific articles or resources
- Here are some BONUS Prompts For Even Better Results
- “Give me more articles like this one – then paste in the article…
- Or “Can you summarize this article and pull out the most relevant statistics for my report?”
JUST REMEMBER… AI LIES – it’s generative in its very nature, so always always always make sure to fact-check sources, summaries and information!
